Could you be our next Operations Co-ordinator?

GamesAid is looking for it’s next Operations Co-ordinator to help manage and organise the charity. We are looking for an organised, confident and enthusiastic individual who can work alone and as part of a team to ensure that the charity runs smoothly from day to day.

Operations Co-ordinator Job Specification

12-month contract (Full time)

London Living Wage: £21,000

Location: London – the main day to day activity for this role is based in London, however the role will include some travel around the UK to attend key GamesAid events. Time in lieu will be given for activities outside normal working hours.

Working hours: 9.30 to 5.30 (40 hours per week including 1-hour break) Flexible working hours will be considered.


GamesAid is the UK’s Video Games industry charity which raises money from video games companies and video games stakeholders to support smaller charities. It is an umbrella charity supporting a number of smaller charities who directly help disadvantaged and disabled children and young people. The current charities for 2018-19 are Accuro, Access Sport Trust, Autistica, The Clock Tower Sanctuary, Lifelites, Everyone Can, my AFK, Solving Kids’ Cancer and Special Effect.

Importantly, we are committed to addressing the imbalances in representation in the video games industry and strongly encourage applications from all underrepresented groups.

Accountable to: GamesAid Chair, Vice-Chair and Trustees

Main contacts: GamesAid charities we support; GamesAid Patrons, Partners and Affiliates, GamesAid members. On a day to day basis the role will involve regular contact with the charities we support as well as video games companies and industry stakeholders who work with us to promote GamesAid.

Main Aims: To provide administrative support for GamesAid, including but not limited to, preparing and arranging regular meetings; minute taking; social media engagement; drafting newsletters; support at GamesAid events. (The GamesAid trustees including the Chair and Vice-Chair are all volunteers and based across the UK so you will be working with people across multiple locations.)



  • Provide administrative support for GamesAid and primarily to the Chair, Vice-Chair and Trustees
  • Be the main point of contact of GamesAid for the charities, fundraisers and sponsors interested in supporting GamesAid
  • Manage the social media channels of GamesAid including Twitter, Instagram, LinkedIn and Facebook
  • Draft the weekly newsletter
  • With support from the trustees and partners, draft media alerts and press releases to raise awareness of GamesAid’s activities
  • Contribute to the organisation of GamesAid events, and take the lead when required, to ensure all events achieve their maximum fundraising potential
  • Co-ordinate information, sharing administrative tasks with the 15 trustees to enable the successful running of the charity, including:
    • organising trustee meetings,
    • taking minutes and following up on agreed actions,
    • attending events,
    • responding to correspondence.
  • Maintain regular weekly communications with the charities that GamesAid supports, providing them with information regarding the fundraising activities, industry events and the annual voting process and seeking information from the charities on their progress and activities


Essential Skills

  • Excellent interpersonal and communication skills, both written and verbal, with the ability to deal effectively with people at all levels
  • Excellent organisational skills with the ability to prioritise and to manage and meet deadlines
  • A confident use of all social media channels (Twitter; Instagram; LinkedIn; Facebook)
  • Ability to multi-task and handle multiple projects simultaneously
  • Ability to work alone and as part of a team – able to make things happen in both scenarios
  • A keen eye for detail
  • Practicable application of Microsoft Office and Excel
  • Proactive approach to working
  • A demonstrable commitment to the principles of diversity and inclusion and its practical application and integration in the work environment


Desirable Skills

  • Experience of drafting press releases and media alerts, or evidence of any copywriting skills
  • Knowledge and passion for the games industry
